The enquiries that were received over the past few months showed a notable increase in enquiries from companies wanting staff for experiential marketing campaigns.

Trade press and industry websites are full of stories with companies and agencies that are turning to ‘live’ experiences in order to communicate with customers. In a recent report by the Experiential Marketing Forum, experiential marketing came out top in a poll for perceived effectiveness and for agencies/clients planned usage followed by sampling in second.

A recent campaign with Solaris saw a squad of Beautiful Minds brand ambassadors take to Oxford Street in Central London to drive sales and visits into its flagship UK store. Armed with promotional leaflets and oversized sunglasses the team interacted with the public on a personal level and drove footfall into the store. Showing that handing out leaflets does not create a lasting impression but having props and creating a ‘street theatre’ style performance introduces that bond and relationship between brand and customer. When we asked for feedback the client boiled it down to one word, “Thrilled”. Daily and monthly sales records were broken during a two day campaign.

One of the show’s main sponsors, Premier Decorations Ltd have called upon Beautiful Minds Promotions again to provide a team of hostesses for their large stand. Welcoming visitors to the stand, capturing data, introducing them to a member of the Premier team and also providing assistance wherever possible, the team have all worked hard to create a great atmosphere with up most professionalism.

Beautiful Minds Promotions have developed such good relationships with clients that we have been chosen to completely manage the set up and running of their stands. This means a brand can have a presence at such a busy event without actually being there themselves for all or part of the exhibition. January also saw Beautiful Mind registration staff as the show team for BETT 2011 for the second year in the row. We provided strong, focused customer service staff to deal with exhibitor and visitor enquiries as well as gophers. This year also saw Emap launch their fantastic exhibitor support, Beautiful Minds very own Natalie. Natalie was on hand to deal with exhibitors enquiries and to aid stands with smaller teams, acting as a go between, between the organisers and exhibitors. This was a valued service which was praised by the exhibitors and organisers alike.

This week will also see Beautiful Minds reprise their role as registration staff at The Toy and Hobby Fair for the 3rd year. The team will be lead by Paddy Kerrigan, a favourite with the Beautiful Minds ambassadors and our registration partner RefTech. Paddy has helped many Beautiful Minds ambassadors with their professional headshots, taking into account their personalities and how best to convey that to potential clients.

I specialise in Photoshoots of ‘People and Portraits’. My relaxed fun photoshoots capture the essence of the model creating beautiful images. I works with both natural and studio lighting.

Two of our Creative Minds Bryony and Maddie have joined up to provide the events industry with In Your Dreams a brand new body painting concept. Bryony and Maddie both come from illustration backgrounds they are challenging our preconceived idea of face and body painting as being tacky and turning it on its head. They are providing a stylish, quirky, artistic service to the creative and events industry at high end events.

I also mentioned our creative mind Felicity who is an exceptionally talented fashion designer, receiving critical acclaim for her graduate fashion collection we are now very pleased to be working alongside Felicity. Nominated for the ‘Jon Adams Portfolio Award’ at Graduate Fashion Week, Felicity’s graduate collection caught the eye of numerous stylists, photographers and bloggers.

December see the first draft of our new website which might make an appearance in the coming few weeks where this blog will be transferred to. This month also sees us providing staff at the Clothes Show NEC Birmingham for a few clients, the ever present Vision Express eyeball campaign rolls on, providing staff for a Christmas gift wrapping service dressed as elves as well as market research assistants, party staff, sales staff and front of house staff for a number of events.

One thousand is the optimum number as it means we have a core team of people in the appropriate areas that we get to know on a personal level. Each member of the office team has an area of expertise so when a brief comes in it is sent to the right person. We really do count our staff as part of our team and get to know them very well. If you don’t believe us, test us! When clients come to us with a specific idea in mind for who they want we instantly know who would fit the brief perfectly. We are constantly updating our staffs’ availability and whereabouts which means when dealing with larger bookings they can be placed.

There are many agencies out there that make bold clams as to having ‘the largest database of staff’ or having ‘over 5000 staff on our books’. Beautiful Minds’ ethos is to keep the team lean in order to know our product and service better. We also shy away from the term ‘database’ as we work daily with real people who work in this industry as a full time job. Not a stop gap. So labelling them as another member of a database doesn’t give them the credit they deserve.

We have people from sales backgrounds, performing backgrounds, recruitment, sports and travel backgrounds. They are more than just event staff and we like to understand their weaknesses and what they aren’t capable of just as much as their strengths.

Another good reason for keeping the number of staff we can call upon trim is to make processes much quicker. Having thousands of staff to deal with would require a lot of time to keep informed and administer. We very much doubt that there has been a time when that many staff have been deployed at once meaning hoarding that many staff is pointless. Keeping our levels to the optimum means we can be picky about who we take on greatly improving the quality of staff available.

Loyal – Repeat customers are some of the easiest to work with. They believe in your brand and have complete trust in what you can offer. This close relationship allows both parties to be honest and bring up any points that might need discussing.

How to deal with them: Never rest on the assurance that they will return again and again. Maintaining current relationships is as important to Beautiful Minds as gaining new business. We never want a client to be just ‘satisfied’. Every client new or old must be wowed every single time.

Last minute – We’ve all been there. The Friday afternoon enquiry for staff the following morning or even the same day. Sometimes opportunities pop up at any given moment and a hasty approach is needed. Our clients know they can pick up the phone and give Beautiful Minds a call.

How to deal with them: It’s all in the planning. Having an updated availability list allows us to know who is available and where at all times so in the event of a late enquiry we can call and book the staff within a few minutes.

Cost lead – “Don’t send me any promotional material just the costs”. Will this approach get the best results/quality? Reduced costs can mean staff are paid less. Do you really want the Brand Ambassadors that are willing to work for the lowest rate possible working for you?

How to deal with them: At Beautiful Minds we believe in our product which is our staff. We know their value and let all clients know this and hopefully they will come on board and join our way of thinking. If it’s the lowest cost possible a client is after then maybe they are not looking for the service you provide. If a budget is limiting things we can accommodate this be altering the number of staff, the number of hours, etc so the budget can be met without compromising on quality.

Receptive – These types of clients are some of the Beautiful Minds’ team favourites. They are open and willing to hear what you have to say. They understand that this is your area of expertise and trust your judgement. We like to involve clients in the selection process as much as possible but the relationship we have with our staff is second to none. We know what they aren’t capable of just as much as what they are and automatically know who is right for a client when the request comes in.

How to deal with them: Involve them as much as possible. We have every confidence in our ability to match the right personnel to the job in hand and feel honoured when a client believes in us just as much as we do.

Beautiful Minds Promotions and Company magazine began their working relationship two years ago at The Clothes Show London. After receiving an outstanding service Company magazine knew that there was only one agency that they wanted to represent them at the launch of Britains Next Top Model Live and that was Beautiful Minds.

After sitting down with the client in person we got to know exactly what they wanted from their promotional team at the show. With it being  Britains Next Top Model Live’s launch they needed a truly special group of individuals to get the show starting with a bang! We carefully selected the seven most outgoing, approachable, gregarious ambassadors from our London team, bearing in mind the long show hours we also knew that these Brand ambassadors had to be relentlessly energetic and hard working.

The Beautiful Minds ambassadors sold out of the goody bags in record time exceeding all of Company Magazines expectations. The team completed the job with a smile on their faces proving once again that nobody does it better.
